Privacy Notice

Who we are.

Top Choice Relocation LLC is a licensed household-goods moving broker. We arrange moves and introduce you to independent, licensed moving companies that carry them out. We do not transport belongings ourselves.

What we collect.

  • From you. Your name and e-mail address; your phone number if you give one; the cities and states you are moving from and to, and the ZIP codes if you type them; your move date and home size if you give them; and any dates and notes you add later on your request page. We keep the exact contact-permission sentence shown beside the button when you sent your request, with the time.
  • Your phone number. If you give a phone number, our text-message provider sends you a one-time code, and your request is sent only after you enter it. We keep the number, when the code was requested, and whether and when it was confirmed, even if you stop before sending. We do not keep the code.
  • For security. We keep a keyed one-way hash of your network address, your browser's user agent, which of our pages you sent the request from and the domain of the site that referred you. Our application does not store your network address itself; our hosting, bot-protection and error-monitoring providers process it when your browser connects to them. Our customer pages set no cookies of their own. While you confirm a phone number, your browser tab remembers the code request (not your number) for up to ten minutes.
  • From the moving company that accepts your move. It records in our system its calls to you and how they went; the prices it quotes you, the price you accept, and any later charges, reductions or refunds; the move dates, when the move was completed and its final charges; the payments you make to it, with amounts, dates and how you paid; whether the move was cancelled or you were not interested; and related documents such as quotes, booking paperwork, receipts, final invoices and bills of lading.
  • From our team. If you speak with us, we record what you tell us, for example whether your move took place, which company you used and how it went.

How we use it.

To plan and coordinate your move; to contact you about it; to check how the moves we introduce turned out and work out the brokerage fee the moving company owes us; and to keep our website secure. We do not use your details for advertising, and our website has no advertising or analytics trackers.

Who receives it.

  • Moving companies we offer your move to see only the cities and states, your dates, home size, the type of move, and whether you gave a phone number for a call. They do not see your name, contact details, ZIP codes or notes unless they accept your move.
  • The company that accepts your move receives your name, phone number, e-mail address, ZIP codes and notes so it can contact you, prepare its estimate and carry out the move. Our agreement with it limits its use of your details to your move and forbids selling them or using them for unrelated marketing. It pays us a brokerage fee only after it has completed your move and collected your full payment, based on the final charges it collected.
  • Top Choice staff who coordinate moves.
  • Service providers that process data only to provide their service to us. Website hosting is Vercel. Database and file storage is Supabase. E-mail delivery is Resend: your receipt, and our e-mails to moving companies, which give your route and dates but not your name. Text messages and phone-number confirmation are Twilio: your one-time code, our texts to moving companies about your route and dates, and alerts to our own staff that include your first name and phone number. Bot protection is Cloudflare Turnstile. Error monitoring is Sentry.
  • Stripe. Moving companies pay our fees through Stripe. Those invoices carry only our invoice reference and amount, nothing about you.
  • Anyone we are required by law to share it with.

We do not sell your details to anyone else.

Your choices.

  • Your private link. After you send your request, the confirmation screen shows a private link to your request page. Save it: we show it only once, we do not e-mail it, and anyone who has it can use it. For 30 days from when you sent the request, it lets you see where your request has got to, change your moving dates and notes, and choose a time for a call when that is offered. To change or cancel your plans, contact our team; the page also lets you withdraw the request yourself until it is closed or completed.
  • Contacting us. You can call our team at (888) 753-7310 or e-mail admin@topchoicerelocation.com to change or cancel a request, ask us to stop contacting you, correct your details, or ask what we hold about you. We handle these requests by hand.
  • What we send you. We send one e-mail receipt when you send your request, confirming we have it. If you gave a phone number, we text you the one-time code. We send no marketing texts or e-mails, and no automatic notice when a company accepts your move or when your request is withdrawn or closed.
  • Who may contact you. Our team will contact you about your request to help with the next steps, usually by phone or e-mail, and may follow up after your move to ask whether it took place and how it went. The company that accepts your move also contacts you itself. Answering is optional.

How long we keep it.

We keep move records, including what the moving company reports about your move, for our business and legal records. Our agreements with moving companies require both sides to keep move, booking and billing records for six years after the last service or final payment adjustment for the move, or longer under a legal hold. We have not set a date for deleting them after that, and our systems do not delete them automatically.
