Privacy Policy
This policy covers information submitted through the Top Choice Relocation carrier partner interest form, and the mobile numbers of carrier representatives who agree to receive text messages from us.
What this business is
Top Choice Relocation's role is to introduce people planning a move to independent moving companies, which carry out the transportation. Top Choice Relocation does not transport belongings itself. When an introduction is made, the details needed to quote and plan the move are shared with the moving companies introduced for that move. Their use of those details is governed by our agreements with them.
What we collect
Company details you provide (legal and trading name, website, headquarters location, and any USDOT or MC number you choose to enter), your contact details (name, position, business email, phone, and how you prefer to be contacted), the operating and capacity details you enter, anything you write in the open response fields, and a record of the confirmations you ticked together with the exact wording shown to you.
Why we collect it
To understand whether a partnership would make sense and to contact you about your submission. Submitting the form is an expression of interest. It is not an application for a contract, it is not an offer of one, and it does not guarantee any jobs, volume, or partnership.
Mobile numbers and text messages
A representative at a carrier company opts in to text messages verbally, during an onboarding call: we describe this program, confirm the representative's own mobile number, ask their permission, and begin only after an explicit yes. We keep a record of that consent - who gave it, for which number, the date, the staff member who took it, and the version of the wording read to them.
We use it to send three kinds of message: account and access messages, moving opportunities that match the lanes and services their company covers, and notifications about a move already in progress. The full terms are in our SMS Terms & Conditions.
Opting in is a spoken yes on a call, not a website checkbox, and it is separate and deliberate: sending the partner interest form does not enrol anyone, and one person opting in does not enrol a colleague. It can be withdrawn at any time by replying STOP to a message or by emailing us, and withdrawing does not affect the standing of that company with us.
A mobile number given for text messages, and the agreement to receive them, are used only to send the messages described above. They are never sold, never shared with third parties or lead generators for their own use, and never passed to another sender to message you under their own name. The only companies that handle them are the service providers who deliver our messages on our behalf, described below.
How long we keep it
Submissions that are declined, withdrawn, or placed on a waiting list are scheduled for removal approximately 24 months after that decision. Contact details are the first thing removed. Records of submissions that progress are kept for as long as the partnership discussion continues.
If you withdraw from text messages we keep a record that you did. We have to: it is what stops a later message being sent to you by mistake. That record is kept even if your other details are removed, and it is used for nothing else.
Who it is shared with
Different information, different answers:
- A carrier representative's mobile number and messaging agreement. Used by us to send the messages described above, and handled by the provider that delivers them. Not sold, and not given to anyone else for their own use.
- Carrier company and contact details from the interest form. Seen by our own reviewers, and by the providers that host our systems and deliver our email. Not sold, and not used for advertising.
- The details of a person planning a move. Shared with the moving companies we introduce them to, for that move - a mover cannot quote or carry a move without them. Limited to the companies introduced for that move, and subject to our agreement with those companies.
- Service providers. Hosting, email delivery and text message delivery. They process information in order to run the service for us, on our instructions, and not for their own purposes.
A representative's mobile number and messaging agreement are never part of what is shared to arrange a move, and agreeing to receive our messages is not permission for anyone else to message you.
Asking us to stop, or to remove your details
Email us and tell us which company you are writing about. There is deliberately no public link that deletes a submission, because anyone who guessed an address could otherwise erase a company's record - so we will ask you to confirm who you are before acting.
We will withdraw the submission and remove the contact details we hold. Two things are kept: the record that you asked us to stop texting, for the reason given above, and anything we are required to retain. You can also ask us what we hold about you.
